Situation Vacant – Team Administrator to CIO Office

The Role

This role based in our EMEA Headquarters in Henley-on-Thames is required to provide efficient and effective administrative support to the CIO office, Head of Investment Oversight & Head of Investment Management Operations

Key Responsibilities:

  • Screening phone calls and provide a first line response to queries, including filtering those that do not need to be dealt with directly by the teams
  • To deal with all aspects relating to the arranging of meetings and events, including room bookings, invites, refreshments and facilities, circulation of agendas, taking of minutes and ensuring actions are followed up
  • To assist with booking meetings and arranging travel and accommodation
  • To deal with expense reporting, purchase orders and other day-to-day general administration tasks
  • To provide holiday cover
  • Ensure all activities are in line with TCF outcomes
  • Ensure all activities are in line with Invesco’s Conduct principles

Key Requirements/Experience:

  • Previous experience working with teams and the ability to multi task
  • Significant Administrative / Secretarial experience is essential
  • Experience in organising and running of events
  • Ability to work effectively with senior management
  • Proficient in the use of PC software including Word, Excel, PowerPoint, Outlook, and any other packages as required
  • Self-motivated, highly organised with good attention to detail
  • Good interpersonal skills and ability to deal confidently with people at all levels
  • Pragmatic, works well as part of a team
  • Ability to handle sensitive information, display tact and diplomacy and maintain confidentiality
  • Flexible and able to respond effectively to variations in workload
  • Ability to remain calm under pressure

  • Excellent organisational skills, attention to detail and diligence
  • Self-starter able to work on own initiative, proactive approach to work
  • Ability to work on concurrent tasks, and prioritise effectively

Qualifications Required
Ideally educated to a degree level or equivalent
